Client Brief

The Southern Sydney Regional Organisation of Councils (SSROC) and Shelter NSW engaged our team to manage and deliver a one-day summit on Creating Liveable Cities for All. The event was produced in partnership with the City Futures Research Centre at UNSW Sydney and supported by the Committee for Sydney. The summit brought together approximately 150 delegates, including government representatives, planners, academics and industry leaders, to explore solutions for more inclusive and sustainable cities.


Our Work

  1. Handover and Project Mobilisation

We ensured a smooth transition into the project by reviewing all existing documentation, gathering essential background information, accessing relevant files, and connecting with all key stakeholders. This allowed us to quickly establish project clarity and maintain continuity in planning.


  1. Risk, Safety and Security Planning

A comprehensive risk and security plan was developed and implemented, tailored to the venue and the high-profile nature of attendees, including former Lord Mayor of Sydney, Lucy Turnbull. All measures were coordinated with the venue and security teams to ensure a safe environment for delegates.


  1. Site Inspection and Logistics Confirmation

We conducted a detailed site walkthrough with venue management and security staff to validate all operational requirements, including room layout, signage, registration flow, technical needs and catering logistics.


  1. Audio-Visual Management

Our team streamlined AV requirements by assessing the original brief and negotiating a more efficient AV package, removing unnecessary equipment and ensuring all technical elements met program needs without exceeding budget.


  1. Venue Setup and Sponsor Liaison

We worked closely with the venue team to deliver a setup that aligned with event objectives, delegate experience goals and sponsor visibility requirements.


  1. Content and Program Development

We designed and produced engaging PowerPoint content for the summit, ensuring alignment with the event theme and enhancing presenter delivery.


  1. Speaker and Program Management

All speakers were fully briefed, supported with updated information, and coordinated throughout the day to ensure seamless transitions and a strong, cohesive program.
